Church presentation hardware basics

The signal path from computer to sanctuary: cables, displays, audio from video, sleep settings, and the backups that matter more than software brand.

Software cannot fix a loose HDMI cable. Before you compare tools, make sure the room has a reliable computer, a known-good output to the projector or TVs, and a backup path if that computer fails.

Start with the signal path

Name every hop. When Sunday fails, you will test them in order instead of guessing.

Computer. The machine running the presentation software. It needs a video output (HDMI, USB-C, or a dongle) and, if you play videos, an audio path that can reach the sanctuary.

Cable or adapter. HDMI is the common language. USB-C laptops often need a dongle. That dongle is part of the path. If it stays in someone’s backpack, the path is incomplete.

Switcher (if any). Some rooms send the computer into a small HDMI switch or an AV rack, then out to the displays. If you do not have one, the computer goes straight to the display. Do not add a switcher until the direct path works.

Projector or TVs. The house display. The correct input is the one you have written down, not the one that worked years ago until someone used a DVD player.

A confidence monitor or lobby screen is another hop. Treat it as optional until the main house path is dull. When something is blank, walk the hops: computer outputting, cable seated, switcher input, projector input, shutter open.

What almost every room needs

Four things. Not a rack. Not wireless video.

A church-owned computer. Not a personal laptop that might be at a lake house. The church owns the login, the song library, and the decision to leave the machine in a locked cabinet. A personal machine can work in an emergency. It is a poor plan for every Sunday.

A known-good cable and the labeled projector input. One HDMI cable you have used in this room, on this computer, this month. A note on the projector, the remote, or a card in the bag: “Sunday slides = HDMI 2.” The volunteer at 8:45 should not have to cycle inputs while people walk in.

An operator view that is not mirrored to the house. The congregation sees the current slide. The operator sees current, next, and a jump list. If those are the same picture, the playlist is on the wall. Extended desktop (or the software’s dedicated audience output) is the requirement. Mirror mode is the failure.

A spare cable, a spare clicker battery, and a written input note. The spare cable lives in the room or in the church bag, not at home. Batteries are cheap. The written note is how a substitute survives. If you only buy one extra thing this year, buy the spare HDMI and write the input down.

A clicker belongs on this list for most rooms. It is not hardware in the signal path, but it is how one person looks at the band instead of the mouse. Test it on the church computer, not only at home.

Display output without embarrassing the room

Computers offer two simple modes.

Mirror copies the same picture to every screen. The operator desktop, the dock, the notifications, and the playlist all go to the projector. This is how lyrics vanish behind a control surface. It is also how a lock screen or an “install these updates” banner becomes the sermon visual.

Extended desktop treats the projector as a second screen. Presentation software then sends a clean house output to that screen and keeps the live view on the laptop or booth monitor. That is the intended setup for this category.

Do this once, then leave it. On Windows, use the display settings to extend, drag the house screen to the correct side, and set the projector to the resolution it actually likes (often 1080p). On a Mac, extend the display and turn off mirror. In the presentation software, assign the audience output to the projector — not “this display,” not “every display.”

Confirm from the seats. If you can read a file name or a next-slide thumbnail from the pew, you are still mirroring or you assigned the wrong output.

One more habit: do not present by dragging a window onto the projector with the desktop still showing around it. Full-screen house output, or you will crop a lyric and show a wallpaper.

Audio from video

Video has a second path, and it fails quietly.

HDMI audio rides with the picture. If the projector or TV is your only destination, and that device is plugged into the house sound, HDMI may be enough. Many projectors have weak speakers. Many TVs are not tied into the sanctuary mix. The picture can be perfect and the room still silent.

A separate feed is the other common pattern: the computer’s headphone jack, a USB audio interface, or a line-out into the mixer, while HDMI carries picture only. That works if someone set the computer’s output device to that path and left it there.

Two failures show up every month. The video plays and the sanctuary is silent — audio went to HDMI, laptop speakers, or a Bluetooth device that is not the house. Or the laptop speakers blast the booth while the house hears nothing. Play the actual file at a normal level and walk into the room. If you hear it only in the booth, the path is wrong.

Test with the same file you will use in the service. A YouTube tab is not the same output as a local announcement video.

Sleep, lock screens, notifications

Build a church profile on the machine. Personal browsing profiles are how chat and mail pop up over a lyric.

On AC power, the computer should never sleep, never dim the display, and never start a screensaver. A projector that goes black mid-sermon is often the laptop saving energy, not a failed bulb. Turn those off for the church account. Confirm after a reboot.

Disable update reboots on Sunday morning. Operating systems like to restart after a patch. Schedule updates for a weekday, or at least check for a pending restart on Saturday. If the machine reboots at 10:12, you are not presenting.

Hide chat, email, calendar, and browser notifications. Full-screen house output helps, but a mirrored or mis-assigned display will still show them. Sign out of personal accounts on the church computer.

Lock screens belong after service, not during. If the church computer lives in an unlocked room, that is a building problem. Do not solve it by setting a five-minute lock during worship.

Phones on the same table should be face down. A Bluetooth clicker that pairs to a phone will advance photos, not slides.

What you can defer

A dedicated media PC is nicer than a shared laptop. Buy it when the shared laptop is the actual problem — someone takes it home, or it is too slow — not because a forum said real churches have booths.

Wireless video (a stick, a wireless HDMI kit, a smart TV app) removes a cable and adds a handshake. Fine later, when you have a spare wired path that still works. It is not the first purchase for an 80-seat room.

Matrix switchers, scaler racks, and multi-input walls are for rooms that already have more than one source every Sunday. If your only source is the slides computer, a direct HDMI run is enough.

Confidence monitors and stage screens help musicians. They are a second output to manage. Add them when the house path is boring and someone will actually look at the stage screen.

None of these are bad. They are later. First purchases for a small room are a church-owned computer, two HDMI cables, a clicker, and labels.

Common failure modes

Short list. Check these before you blame the software.

  • Wrong HDMI input. The projector is on HDMI 1. You are in HDMI 2. Cycle once, then read the note you should have written.
  • HDCP handshake. Some laptops and some displays argue about copy protection and stay black. Unplug, wait, replug. Try the spare cable. A cheap coupler in the middle of a long run can cause this.
  • 4K laptop into a 1080p projector. The picture is blank, cropped, or sluggish. Set the extra display to 1080p. Do not send 4K “because the laptop can.”
  • Adapter dongle left at home. USB-C only machines do not grow an HDMI port overnight. The dongle lives in the church bag.
  • Auto-dim. The laptop lid sense, battery saver, or a “presentation” mode you did not ask for dims the extra display. AC power, sleep off, lid open if that machine blanks outputs when closed.
  • Bluetooth clicker on the wrong machine. It is still paired to last week’s laptop or to a phone. Pair it that morning. Keep a wired or USB receiver clicker as the boring backup.
  • Loose connector. HDMI that only works when you hold it is a failed cable or a worn port. Replace the cable before you replace the computer.

If the software is open and the hops are good, then look at how the live view is supposed to work. If the hops are bad, no tool will save the room.

A starter shopping list

Generic on purpose. Confirm current models on a shelf; do not shop from a remembered SKU.

  • A church laptop or mini-PC. Enough to run your tool and play a video without hitching. Church-owned.
  • Two HDMI cables. One in use, one spare, long enough for the actual run. USB-C machines also need the adapter you already tested.
  • A clicker. USB receiver types are dull and reliable. Bluetooth works if you pair it that morning and keep it away from phones.
  • A cheap HDMI coupler. Joins two cables or replaces a suspect connector. Lives in the bag.
  • A label maker or tape. Mark the church cable, the correct input, and the bag.
  • A surge strip. One place for the computer and the display. Tape the switch so a foot does not kill Sunday.

Optional later: a second cheap TV as a confidence or operator monitor; a USB capture device if a switcher needs a different input; a second church computer with a copy of the service, only after the first path is reliable.

Buy the spare cable before you buy wireless. Write the input before you buy a new projector. The one-volunteer playbook assumes this path already works.
